How To

Welcome to How To — Veona’s plain-language guide series.

Every other part of this knowledge base answers “what is this screen?” or “what can this role do?”. How To answers a different question: “We have a patient in front of us — what do we actually do, step by step, from start to finish?”

Each How To follows one complete, real-world journey across every desk it touches — the front desk, the cashier, the nurse, the doctor, the laboratory, the pharmacy, and the finance office — and tells each person exactly what to click, in what order, and what happens next. No technical knowledge is assumed. If a term needs explaining, it is explained the first time it appears.

  • Roles are in bold. When you see Front Desk, Cashier, Nurse, Doctor, Lab Scientist, Pharmacist or Finance, that step is performed by that person. Skip to the steps for your role, or read the whole thing once to understand how your work fits the bigger picture.
  • Screens are named by their menu path. “Open Register → New Registration” is the path you click through the menu — follow the words on screen, not a web address (addresses can change; the menu labels are what you see).
  • Buttons and field names appear exactly as they do on screen, in quotes — “Assign UHID & Save”, “Collect Payment”, “Sign & Send”.
  • Look for the coloured boxes. A :::tip is a shortcut; a :::note explains a rule; a :::caution flags something that will block you if you skip it.

A Patient’s First Visit, End to End threads almost the entire system together in a single walk-in patient visit — registration, payment, queue, the doctor, the lab, the pharmacy, and billing. Read it first to see how the pieces connect, then dive into any journey below for the step-by-step detail.

Each journey is a set of guides you can follow in order — a trail through one part of Veona. Every guide links to the steps before and after it.

  • Diagnostics — Labs, Imaging & Connect — order tests, route them to analysers and modalities, verify and release results, and close the loop on critical values.
  • Front of House — Registration, Queue & Emergency — register patients, mint a UHID, open encounters, run the queue, and triage in the Emergency Department.
  • Emergency Department — ESI-acuity triage, resuscitation, the bed & zone board, fast-track, observation, surge mode, and disposition.
  • Ambulance & EMS — manage the fleet and crews, dispatch a call and complete the run sheet, and hand off to the Emergency Department on arrival.
  • The Ward — Inpatient Care — admit to a bed, record early-warning observations, run the medication record, transfer, and discharge.
  • Theatre — Surgery — schedule a case, sign the peri-operative record, disposition the patient, and log consumables.
  • Maternity & Vital Records — antenatal care, labour, delivery, newborn registration, and birth and death certificates.
  • Blood Bank & Transfusion — vein to vein: register donors, screen and test, crossmatch and issue, transfuse at the bedside, and report reactions.
  • Physiotherapy — receive a referral, assess and plan, record treatment sessions, and bill the episode.
  • Dialysis — set up chairs and machines, enrol and prescribe, schedule recurring sessions, and run a dialysis session.
  • Medication & Supply — Rx & Stock — prescribe, dispense by FEFO, run the controlled-drug register, and keep one inventory.
  • Billing & Revenue Cycle — capture charges, invoice, take payment, and submit insurance claims.
  • Finance & Accounting — one set of books: the chart of accounts, journals, the general ledger, live financial statements, fiscal periods, budgets, multi-currency, and the fixed-asset register.
  • Procurement — requisition to payment: requisitions, RFQs, purchase orders, the three-way match, supplier payments, landed costs, and returns.
  • Assets & Maintenance — the fixed-asset register, capitalising equipment, depreciation, preventive maintenance, calibration, service contracts, and downtime.
  • PRM — Business Development — leads, accounts and contacts, the opportunity pipeline, tariff-priced quotations, activities, and campaigns.
  • Integrations — patient wallets, online payments, diaspora top-up links, HMO/NHIS and NHIA Ghana e-claims, and staff time-attendance.
  • Telehealth — book a video consult, invite the patient, and meet in the secure room.
  • The Patient Portal — how patients sign in, view results and bills, book, and join consults.
  • AI Scribe — turn a recorded consultation into a signed clinical note, with you in control.
  • Staff, Identity & Security — onboarding, sign-in, the eSign PIN, and the safeguards behind every action.
  • Veona HR — People & Payroll — hire, onboard, roster, manage leave and time, run payroll, appraise, train, and the full employee self-service.
  • Group & Network — Multi-Facility — run several facilities as one network: link the same patient across sites with the Master Patient Index, read records across facilities with consent, and see the whole group in one report.
  • Clinical Templates — Assessments & Procedures — build a scored assessment instrument once and perform it at the bedside, and define a clinical-procedure template whose consumables and charges look after themselves.
  • Records Requests & Release of Information — log a records request from a patient or a third party, review and approve it, compile the records pack, disclose and deliver it, and keep the accounting of disclosures.
  • Referrals — create, sign, send, and accept a referral.
  • Across Veona — Foundations — the building blocks every module shares: audit, encryption, notifications, documents, analytics, and reference data.
