Raise And Track My Grievance

If something at work needs to be put right — a workplace issue, unfair treatment, a pay concern — you can raise a grievance in Veona yourself, in confidence. You write it up on your own screen, choose a category, and submit. From there HR takes it on privately: they review it, escalate it where needed, and record a resolution that they sign off electronically. You see your own grievance and its status the whole way through, and nobody but HR can read the detail.

A couple of terms first. A grievance is a concern you formally raise about your work or workplace. ESS stands for employee self-service — the “My HR” floor every staff member reaches with no special HR permission, scoped so you only ever see your own records. Confidential here is literal: the detail you write and HR’s resolution are encrypted at rest, and only HR’s grievance handlers can open them. A grievance is your complaint and is entirely separate from a disciplinary file (an action taken about conduct) — you can never see a disciplinary file from here, and a colleague can never see your grievance.

Who / when: Any Staff with an employee record, whenever you need to raise a concern formally. You raise it and track it yourself; HR handles and resolves it.

We will follow Chika, a lab scientist raising a workplace concern.

  1. Any Staff — open Human Resources → My HR → My Grievances. The screen reminds you up front that your grievance is handled confidentially by HR. Your own grievances are listed below, each with its “Reference”, “Title”, “Category”, “Status” and when it was “Raised”.
  2. Any Staff — press “Raise A Grievance”. The “Raise A Grievance” dialog opens.
  3. Any Staff — give it a clear “Title”, choose the “Category” that fits best (Workplace, Harassment, Discrimination, Pay, Management, Health And Safety, or Other), and write the full story in “Details”. Both the title and the details are required.
  4. Any Staff — press “Submit”. Veona confirms “Your grievance has been raised.” It now appears in your list with its own reference and an “Open” status pill. Behind the scenes Veona quietly alerts HR’s grievance handlers that a new grievance needs attention — with no personal detail in the alert.
  5. Any Staff — track it from this screen. As HR works through it, the “Status” pill on your row changes — from “Open”, to “Under Review” or “Escalated”, and finally to “Resolved”. Refresh whenever you like to see where it stands.

Your grievance moves through a clear set of states, and the pill on your row always shows the current one:

  • Open — raised and waiting for HR to pick it up.
  • Under Review — HR is actively working through it.
  • Escalated — HR has raised it to a higher level for handling.
  • Resolved — HR has recorded and signed off an outcome; the matter is concluded.
  • Closed — the case has been closed out.
  1. HR (grievance handler) — on their confidential case screen (Human Resources → Disciplinary & Grievances), HR opens your grievance, reads the detail, and adds private case notes as they work. The handling side is covered in Manage Disciplinary And Grievance Cases.
  2. Any Staff — back on Human Resources → My HR → My Grievances, your row reflects their progress: it shows “Under Review” while HR works it, or “Escalated” if they have raised it for higher attention. You see the status change without ever seeing HR’s private notes.
  1. HR (grievance handler) — when HR settles the matter, they record the outcome and seal it with their 6-digit eSign PIN. Where your facility has set up an approval chain for grievances, that signed resolution is routed for approval first (your case shows as under review until it clears); otherwise it resolves straight away.
  2. Any Staff — once the resolution is final, your grievance shows “Resolved” and Veona sends you a content-free notification that an outcome was recorded. The matter is concluded on the record.

  2. Any Staff — this is your own running record of what you raised and how each one stands. A grievance you raised stays here as you track it through to resolution.

Your grievance stays yours — and only yours

  1. Any Staff — this screen shows only the grievances you raised. There is no path here to read another person’s grievance, and the detailed handling — notes, resolution wording — lives on HR’s confidential screen, not yours.
  2. Any Staff — likewise you can never see a disciplinary file from self-service: grievances (your complaints) and disciplinary cases (actions about conduct) are deliberately kept apart. The “My HR” lane is provably personal: it only ever surfaces your own records.

Your grievance is now with HR, who handle it confidentially and bring it to a signed-off resolution. You follow its journey from “Open” through “Under Review” or “Escalated” to “Resolved” entirely from My Grievances, and you are notified when the outcome is recorded. The whole exchange is private to you and HR, and every step is recorded and auditable. The handler’s side of the same case is in Manage Disciplinary And Grievance Cases.
