Check In an Appointment Into an Encounter
A booked appointment is a promise of a visit; checking it in is the moment that promise becomes a real one. When the front desk checks in a scheduled patient, Veona opens the one canonical encounter (the system’s record of a single visit) for that appointment and back-links the two together, so the appointment knows which visit it became and the visit knows which appointment it came from.
Who / when: the Scheduler (or front-desk staff) checks the patient in at the schedule when they arrive for a booked slot; the Physician then works inside the encounter that check-in opened. You can follow this whether the appointment was made by the front desk or by the patient themselves from the portal.
We will follow Amina Bello, who this time booked ahead for a follow-up.
- Scheduler — open Appointments → Schedule. This lists the day’s booked appointments. Find Amina’s row at her appointment time.
- Scheduler — when Amina arrives, press “Check in” on her row. That single action tells Veona she is here and ready.
- Scheduler — Veona opens an “Appointment-origin / Outpatient” encounter for the visit and back-links it onto the appointment. The appointment row now reflects the checked-in state and is tied to a live visit.
- Physician — open Amina’s record from Chart → Patients when you are ready to see her. You are working inside the encounter that her check-in opened — your notes and orders attach to it. There is no separate “start visit” step to remember.
What happens next
Section titled “What happens next”With the encounter open and back-linked, Amina flows exactly like any other patient: the nurse can record vitals, the physician can chart and order against the visit, and charges accrue to it. If she is also queued, both paths land on this one encounter. When the doctor finishes and presses “Complete”, this is the encounter that closes — and the appointment it came from is satisfied.
