Veona HR
Veona HR is the people-and-payroll module: it runs the whole employee lifecycle, from advertising a job to paying a salary, and gives every member of staff a self-service area for their own records. It builds on the same staff and shift records the rest of Veona already uses, so a clinician you hire in HR is the same person who signs notes and appears on the rota — there is no separate staff list to keep in step.
Two controls run through the module and are enforced, not advisory: segregation of duties on payroll (the person who builds a pay run cannot also approve it) and the eSign PIN (your 6-digit electronic signature, separate from your password) on every binding act — an offer, a contract, a pay run, a disciplinary outcome.
Key terms: ESS is Employee Self-Service (the My HR area each person sees); CPD is Continuing Professional Development (training credits); CTC is Cost To Company (the full cost of a salary including employer contributions); statutory items are the deductions the law requires (tax, pension, and the like).
Who uses it
Section titled “Who uses it”- HR Officers and HR Managers run the organisation structure, recruitment, employee records, contracts, credentials, leave, training and cases.
- Payroll Officers build pay runs and maintain salary structures; Payroll Approvers review and approve them — the two roles are deliberately separate.
- Line Managers approve their team’s leave, timesheets, swaps and expenses, and run their team’s appraisals.
- Every member of staff is an Employee in the My HR self-service area — no special permission needed to see their own record.
Editions
Section titled “Editions”Veona HR is a base, always-on module — it is included in every edition at no extra cost, because every facility has people to manage and pay.
Screens
Section titled “Screens”The module is organised into a back-office area (for HR and payroll staff) and the My HR self-service area (for everyone).
| Area | Screens | What they are for |
|---|---|---|
| Workforce & structure | Staff · Org Chart · Departments · Positions · Grades · Salary Structures | The directory and the shape of the organisation: who reports to whom, the bands, and what each band pays. |
| Recruitment | Requisitions · Postings · Candidates · Pipeline | Raise a vacancy, advertise it, capture applicants, and move them through the hiring stages to an offer. |
| Contracts & credentials | Contracts · Credentials · Compliance · Committees · Unions | Employment contracts, professional licences and their expiry tracking, and the document/compliance vault. |
| Time & attendance | Shifts · Roster · Time · Timesheets · Leave | The rota, on-call, clocking, timesheet reconciliation with overtime, and leave requests and balances. |
| Payroll | Pay Runs · Statutory · Benefits · Expenses | Build, approve and pay a pay run; statutory deductions; benefit and allowance plans; and expense reimbursement. |
| Performance & training | Review Cycles · Team Appraisals · Training Courses · Training Sessions · Team Training | Appraisal cycles and goals, and the training catalogue, sessions and CPD records. |
| Cases | Disciplinary · Grievances | The confidential disciplinary and grievance case files, each with an eSigned outcome. |
| Approvals | My Approvals · Delegations · Approval Settings | The approvals inbox, who can decide what, and delegating authority when someone is away. |
| My HR (self-service) | My HR · My Profile · My Payslips · My Leave · My Shifts · My Timesheets · My Expenses · My Credentials · My Appraisals · My Goals · My Training · My Grievances | Each person’s own records and the things they do for themselves. |
Recruitment to onboarding
Section titled “Recruitment to onboarding”A vacancy starts as a Requisition (approved through the chain), becomes a Posting, and gathers Candidates who move along the Pipeline. Issuing an offer is eSigned; accepting it converts the candidate into a Staff member, who then runs an onboarding checklist. Because the new staff record is the same one the rest of Veona uses, the person can be rostered and given system access straight away.
Time, attendance and leave
Section titled “Time, attendance and leave”The Roster publishes shifts (including on-call); staff can request swaps that a line manager approves. Timesheets reconcile worked time and flag overtime for approval. Leave is requested by the employee, checked against the balance, and approved (or rejected) by the manager — all of which the employee also does from My HR.
Payroll
Section titled “Payroll”A Pay Run is built by a Payroll Officer (gross pay from each person’s salary structure, less statutory deductions and any benefit or expense lines), reviewed, then approved by a different person — the Payroll Approver — with an eSign PIN. Approval is what releases the run to payment and publishes each payslip to the employee’s My HR. Off-cycle runs follow the same path.
Credentials and compliance
Section titled “Credentials and compliance”Credentials holds each person’s professional licences and certificates with their expiry dates; Veona tracks them and warns ahead of expiry so a lapsed licence is caught before it becomes a compliance problem. Compliance is the wider document vault and committee/union register.
Performance, training and cases
Section titled “Performance, training and cases”Review Cycles drive appraisals: employees set goals and complete a self-appraisal, managers run team appraisals. Training maintains the course catalogue, schedules sessions, and records completions and CPD. Disciplinary and Grievance cases are confidential files whose outcomes are eSigned and recorded.
My HR — employee self-service
Section titled “My HR — employee self-service”Every member of staff has My HR: view and download payslips, request leave and watch the balance, see shifts and request a swap, check timesheets, submit expense claims, see their credentials and documents, set goals, complete a self-appraisal, track training, and raise a grievance — without going through the HR office for routine things.
