Top Up and Spend a Patient Wallet

A patient wallet is a stored-value balance held against a patient: you load it once through a payment provider, then spend it against that patient’s invoices over many visits, so the cashier never re-takes a card for each bill. This guide loads a wallet and pays an invoice from it.

Who / when: the Cashier does this at the front desk — when a patient (or their family) wants to pre-load credit, or when there is an invoice to settle from an existing balance. It is a cashier capability, held by the cashier role.

We will follow Amina Bello, who is pre-loading credit before a course of treatment.

1. Cashier — open Integrations → Wallets & Diaspora. In the Patient panel, search by name or UHID and select Amina. Her wallet opens with the current balance, total topped up, and total spent.
2. Cashier — under Top Up, choose a provider: Paystack (card/bank), Flutterwave, or mobile money. Enter the amount. For mobile money, enter the payer’s phone.
3. Cashier — press “Start Top-Up”. For card/bank, Veona opens the provider’s secure hosted payment page in a new tab; the patient completes payment there. For mobile money, the charge starts and waits for confirmation.
4. Cashier — once the provider confirms, Amina’s balance reflects the top-up and the top-up appears in Recent Activity.

To spend the balance:

5. Cashier — under Pay An Invoice From Wallet, enter the invoice number (the INV-… raised in Billing) and the amount to apply, then press “Pay From Wallet”.
6. Cashier — the balance is drawn down and a real receipt is recorded against that invoice. No external gateway is touched for this step — it spends balance the patient already has.

Note

A top-up moves real money through your payment account (the BYOK provider your billing manager configured in Settings → Payments & integrations). Paying an invoice from the wallet does not — it simply applies existing balance and posts the receipt to the bill.

Tip

The Recent Activity ledger shows every top-up and spend with the running balance, so you can always reconcile what was loaded against what was used.

What happens next

The wallet balance carries forward across visits. Each invoice you settle from it lands in Billing as a paid receipt, decrementing that invoice’s outstanding balance exactly like any other payment.
