Fulfil a Request — Compile the Records Pack
Once a request is approved, fulfilling it turns the approval into an actual document. A records officer runs the longitudinal compiler — the engine that gathers the approved record categories for the patient across the request’s date window and assembles them into one branded Medical Records Pack PDF — then stores that pack encrypted at rest, ready to disclose.
Who / when: the Records Officer, on a request that is Approved or Partially Approved. (Compiling is a Records Officer capability.)

- Records Officer — open Records → Request Queue, click the request’s row to open its detail.
- Records Officer — confirm the status is Approved or Partially Approved and that the approved categories are what you intend to release.
- Records Officer — press “Compile Records Pack”. Veona runs the longitudinal compiler over only the approved categories, within the request’s scope dates.
- The compiler builds a single PDF: a cover page with Amina’s identity, UHID, the scope window and a generated-at stamp, a contents index, then a chronological section per approved category that has data — encounters, clinical notes, diagnoses, problem list, laboratory results (analyte by analyte), imaging reports, prescriptions, vital signs and on-file documents.
- The pack is stored encrypted at rest through Veona’s shared Storage module, owned by the patient and marked as PHI. The request moves to Fulfilled and is now ready to deliver.
What happens next
