Veona Physiotherapy

What this is

Veona Physiotherapy (Rehabilitation) is the clinical surface for a course of physiotherapy. It runs the whole episode of care for one patient: a clinician refers the patient in, the physiotherapist assesses them, authors a treatment plan with goals, delivers and signs therapy sessions, tracks outcome measures, and finally discharges the patient. The work it captures feeds the rest of Veona automatically — sessions raise charges in Veona Bill, consumables draw down stock, and the whole service line reports into Veona Pulse.

Key terms used on this page:

Episode — one course of physiotherapy for a patient, anchored by a referral. Everything (assessment, plan, sessions, outcomes, discharge) hangs off it. An episode moves through the states Referred → Assessed → Active → Discharged (or Cancelled if a referral is declined).
Referral — the request that opens an episode. It can be raised directly in the module, or arrive automatically from a clinician’s chart referral (see below) — the worklist badges each row Chart or Direct.
Assessment — the physiotherapist’s subjective/objective findings: range-of-motion, muscle strength (Oxford 0–5 grade), a pain score (0–10) and a working diagnosis.
Treatment Plan — a problem list, planned modalities (manual therapy, exercise therapy, electrotherapy, hydrotherapy, gait training, and so on) and a set of SMART goals the episode works toward.
Session — one scheduled therapy appointment, recorded with the modalities delivered, exercises performed, a progress note, a pain score and any consumables used, then eSigned to lock it.
Outcome Measure — a standardised score (e.g. an Oswestry Disability Index) recorded over the episode so progress can be tracked.

Who uses it

The care-team boundary is deliberate: the Physiotherapist owns the clinical episode; the assistant delivers prescribed work under that plan.

Physiotherapist — owns the episode end to end. Accepts (triages) a referral and assigns the therapist, authors the assessment, authors and revises the treatment plan and goals, records and eSigns sessions, records outcome measures, and discharges the patient.
Physiotherapy Assistant — delivers prescribed sessions under the physiotherapist’s plan. Can record a session, but does not author the plan, sign sessions, or discharge — those stay with the supervising physiotherapist (least privilege).
Referring Clinician / Nurse — reads the physiotherapy record for a patient they referred from the chart. Read-only — they do not run the episode.

The Administrator holds every physiotherapy permission.

Editions

Veona Physiotherapy is a paid clinical add-on SKU — it is not a base/always-on module, and it is not auto-entailed by any other module. It is included in the Hospital, Network and Veona Enterprise editions; facilities on other editions can buy it à-la-carte. If a facility’s edition does not entitle the module, Physiotherapy is unavailable (deny-by-default).

Screens

The Veona Physiotherapy work surface is intentionally lean. Its single tab is the worklist; the per-episode detail is reached by drilling a worklist row, never as a standalone menu entry.

Physiotherapy → Referral Worklist — every episode, filterable by status, searchable by patient, UHID or reason, with a Refer Patient button to raise a referral directly. Each row badges its source (Chart or Direct).
Therapy detail — opened by clicking a worklist row. One screen holds the whole episode: accept/assign, assessment, treatment plan & goals, the session log (schedule + record + sign), outcome measures, and discharge.

The three rehab-templating setup screens are visible only to the Physiotherapist — they are hidden for delivering roles:

Physiotherapy → Exercise Library — reusable, searchable exercise definitions.
Physiotherapy → Therapy Types — billable, reusable therapy-session templates.
Physiotherapy → Therapy Packages — sellable, fixed-session rehab packages.

The referral worklist

The Referral Worklist is the module’s landing screen — every physiotherapy episode in one list. A readout strip shows total episodes, those awaiting assessment, active episodes, and discharged episodes.

Filter by status (Referred, Assessed, Active, Discharged, Cancelled) and search by patient, UHID, or reason. Each row badges its source — Chart (arrived from a clinician’s chart referral) or Direct — and shows the priority, assigned therapist, and session count.
Select a row to open the therapy detail, where the whole episode lives — accept/assign, assessment, treatment plan and goals, sessions, outcome measures, and discharge.
To start an episode by hand, select Refer Patient and fill in the patient, the referring clinician, a priority (Routine, Urgent, Emergency), and the presenting complaint, then Create Referral.

How it integrates

Referral in (Chart → Physiotherapy). When a clinician raises a chart referral whose specialty is Physiotherapy / Physical Therapy / Rehabilitation, Veona auto-mints a physiotherapy episode and links it back to the chart referral, so it lands on the worklist with source = Chart — no re-keying. The funnel is idempotent (one episode per chart referral) and the originating clinician is carried across. See Receive a Chart Referral into Physiotherapy.

Billing & GL out. Physiotherapy raises charges through the same central billable seam every clinical module uses:

Authoring an assessment captures an assessment charge.
A signed, attended session captures a session charge. (A no-show is not billed — no service was rendered. An unsigned session is not billed either; signing is the gate.)

Both are priced from the tenant tariff, idempotent on their source reference, and best-effort (a billing hiccup never unwinds the recorded clinical work). Each session rides its own encounter stamped with the Physiotherapy department, so the captured charge resolves the Physiotherapy cost-centre. Once those charges are assembled into an issued invoice, Veona Bill posts the accrual to the General Ledger (Dr Accounts Receivable / Cr Revenue) — see One Set of Books.

Consumables → COGS (stock). When a session consumable (TENS pads, kinesio tape, resistance bands) is picked from a stock item, recording the session draws it down from the one inventory ledger (FEFO across the item’s available lots), which flows through to cost-of-goods. A free-text consumable that is not linked to a stock item is logged but does not draw stock.

Pulse out. Physiotherapy ships real metric sources computed from live data: active episodes, sessions delivered (with a therapist-utilisation breakdown), no-show rate, goal attainment, and physiotherapy revenue (read from the captured charges, exactly as the financial sources read revenue). These surface automatically in the Pulse catalogue, dashboards and report builder.

Rehab templating — exercise library, therapy types and packages

The Physiotherapist can build reusable building blocks that treatment plans and sessions draw on, so plans assemble from templates instead of being written from scratch. There are three setup screens, all Physiotherapist-only:

Physiotherapy → Exercise Library — reusable, searchable exercise definitions: a code, a name, the body parts it targets (the anatomical search index, for example Knee or Lumbar Spine), a difficulty (Beginner / Intermediate / Advanced), step-by-step instructions, and media references. Exercises are the non-billable building blocks — they carry no price of their own.
Physiotherapy → Therapy Types — a billable, reusable therapy template (for example “Post-op Knee Rehab Session”): a code, a name, body parts, a billable flag with a price per session, a default session duration, and a default bundle of exercises (each with default sets / reps / hold-seconds). Those default exercises seed a session’s exercise list when a session of this type is recorded.
Physiotherapy → Therapy Packages — a fixed-session, fixed-price bundle of therapy types (for example “12 sessions across 2 therapy types”). Veona computes the package’s total sessions and lump-sum price from its lines. When a physiotherapist authors a treatment plan and picks a package, the plan is seeded with those therapies and priced as the package lump sum, instead of pay-per-session.
