Manage The Training Catalogue, Sessions And CPD

Training in Veona runs on three surfaces that feed each other: a course catalogue of what can be taught, sessions that schedule sittings and rosters of who attends, and completion records that mark who finished what — accruing CPD and, for mandatory courses, requiring an eSigned sign-off before they count. This page walks the whole loop, from cataloguing a course to a signed completion on a staff member’s CPD ledger.

Who / when: the HR Manager or HR Officer owns the catalogue, sessions and completions; a Line Manager can record and sign their team’s completions. CPD = continuing professional development — credit hours staff accumulate to stay qualified. A mandatory / credentialing course is one whose completion must be eSigned by HR or a manager before it is final (an employee cannot self-attest one). A session is a scheduled sitting of a course; its roster is the enrolled attendees. The eSign PIN is your 6-digit electronic signature. We’ll follow Grace, an HR officer.

  1. HR Officer (Grace) — open Human Resources → Training → Training Courses and press “New Course”.
  2. HR Officer — give the course a “Title”, optional “Provider” and “Category”, a “CPD Credits” value (a decimal, e.g. 1.50), an optional “Validity (Months)” for how long a completion stays current, and tick “Mandatory / Credentialing” if completion must be signed off. Press “Create Course”. It appears as “Active” with live counts of its sessions and completions.
  3. HR Officer — open Human Resources → Training → Training Sessions and press “Schedule Session”. Pick the “Course”, set “Starts” (and optionally “Ends”), choose the “Delivery” (In-Person, Online or Blended), optionally name a “Facilitator” and “Venue”, set a “Capacity” if places are limited, and press “Schedule”. The session opens “Scheduled”.
  4. HR Officer — on the session’s row press “Roster”. In the drawer, search and pick an “Employee” and press “Enrol Employee”; repeat to build the attendee list. Each enrollee starts as “Enrolled”.
  5. HR Officer — after the sitting, open the session’s “Roster” again and set each attendee’s outcome from the dropdown — “Attended”, “No Show” or “Cancelled”. When the sitting is done you can press “Complete” on the session row.
  6. HR Officer or Line Manager — open Human Resources → Training → Team Training and press “Record Completion”. Pick the “Course”, the “Employee”, optionally the “Session”, set the “Completed” date and the “Outcome” (Completed, Pass or Fail), add a “Score” or “Certificate Reference” if you have them, and press “Record”. The course’s CPD credits are accrued onto that employee’s ledger at once (a Fail accrues none).
  7. HR Officer or Line Manager — if the course is mandatory, the completion opens needing sign-off. Press “Sign Off”, enter your eSign PIN, and press “Sign & Finalise”. The record becomes “Signed Off” and read-only.

Editing a course (or marking it mandatory / CPD-bearing)

  1. HR Officer — open Human Resources → Training → Training Courses, press “Edit” on the course, change its title, CPD value, validity or the “Mandatory / Credentialing” flag, and press “Save Course”.
  2. Press “Archive” to retire a course (it stays on past records but leaves the picker); “Activate” brings it back.

Updating an enrolment (attended / no-show)

  1. HR Officer — open the session’s “Roster” and change the attendee’s status dropdown to “Attended”, “No Show” or “Cancelled”.
  2. The change saves immediately. This is how the roster reflects who actually turned up, separate from who finished and earned the certificate.

Recording a completion for another staff member

  1. HR Officer or Line Manager — on Human Resources → Training → Team Training, “Record Completion” lets you pick any employee as the one who completed the course.
  2. This is the manager/HR authority — recording completions for the team. The CPD accrues onto that employee’s ledger, not yours.

Deny: a peer cannot sign another’s mandatory completion

  1. A colleague without training authority — if a peer who lacks the training-manage permission tries to sign off someone’s mandatory completion, the server refuses: “Only HR or a manager can sign off a training completion.”
  2. Signing a mandatory completion is an HR/manager authority by design — an employee can never self-attest a credentialing course, and a peer cannot sign it for them.
  1. HR Officer or Line Manager — on Human Resources → Training → Team Training, each completion row shows the CPD credits it earned; the running per-staff total and full ledger live on that employee’s own My HR → My Training.
  2. The employee — sees their own CPD total, ledger entries (credits per course, when earned) and completion records in Track My Training And CPD.

The catalogue, the scheduled sessions and the signed completions now hang together: every recorded completion has accrued CPD onto the staff member’s ledger, and mandatory ones carry an eSign signature that locks them. Completions on courses with a validity period show an expiry, feeding renewal tracking. Staff watch their own CPD build up from their self-service hub.
