The Receive → Invoice → Pay Chain
Buying something is not one event — it is a chain: you commit to buy it, the goods arrive, the supplier’s bill arrives, and finally you pay. Money does not move at every step, and the accounts are careful about when it does. This page walks one purchase from end to end across two modules — Stock (which holds the goods) and Procurement (which raises the order and matches the bill) — and shows the single account, GRNI, that holds the chain together and nets to zero the moment the bill is settled.
Who / when: the store manager receives the goods on the Stock side; the procurement officer raises the order and three-way-matches the invoice; the finance officer pays the supplier and reconciles. We will follow Ngozi (store), Bayo (procurement) and Tunde (finance) as one box of reagents travels from order to payment.
Terms, defined once. A purchase order (PO) is a promise to buy at an agreed price — a commitment, not a payment. A goods receipt records goods physically arriving. GRNI is Goods Received Not Invoiced — a holding account for stock you have received but not yet been billed for. Accounts Payable (AP) is the account of money you owe suppliers for bills you have received. A three-way match checks the supplier’s invoice against the purchase order and the goods receipt — three documents that must agree before you pay.
Step 1 — The purchase order commits, but moves no money

Bayo raises a purchase order from an approved requisition. A PO is a commitment to buy at an agreed price; nothing has been received and nothing has been billed, so the general ledger does not move at all. This is deliberate — promising to buy is not the same as owning or owing. See Convert an Approved Requisition Into a Purchase Order.
Step 2 — The goods receipt brings stock in against GRNI

When the reagents arrive, Ngozi receives them on Stock → Goods Receipt. The value enters Stock-in-Hand (you own it now), and the same amount lands in GRNI — a deliberate parking spot that says “we have these goods, and we owe someone for them, but the formal bill has not arrived yet.” This is the same posting described in How Stock Movements Hit the Books, seen here as one link in the chain. Step 3 — The purchase invoice clears GRNI into Accounts Payable

When the supplier’s invoice arrives, Bayo three-way-matches it — invoice against PO against receipt — on Procurement → Purchase Invoices. Once it matches, the posting clears GRNI and replaces it with a proper Accounts Payable balance: you now owe a specific supplier a specific amount on a specific bill. Step 4 — Paying the supplier clears the payable

Finally, Tunde pays the supplier on Procurement → Supplier Payments. AP falls (you no longer owe it) and Cash falls (the money has left). The chain is complete: a commitment became owned stock, owned stock became a billed liability, and the liability became a payment. See Pay a Supplier and Clear the Payable.

Read the GRNI column top to bottom: it is created at receipt and destroyed at invoice, so across the whole chain it returns to zero — exactly as it should.
