Veona AI Scribe

Veona AI Scribe is ambient clinical documentation. It records (or accepts an upload of) the consultation audio, transcribes it, and drafts a structured SOAP note (Subjective, Objective, Assessment, Plan). The draft is advisory and human-in-the-loop: every field is editable, and nothing reaches the patient record until the clinician reviews it and approves it under an eSign PIN (a 6-digit signing re-authentication, separate from the login password), which signs it into the encounter note. The system records per-field AI-vs-human provenance.

Who uses it: the documenting clinician, who can capture and draft, and review and sign the draft into the record. Administrators manage Scribe configuration.

AI Scribe is included in Hospital and Network. It is not in Health Centre or Public Health. It depends on Chart.

The same session can also be driven in-chart from the Veona Scribe bar (the Start Scribe entry point on the patient chart), which locks the session globally so it survives navigation.

  1. Open Scribe.

  2. Pick the patient and the encounter to document against.

  3. Select Start recording to capture the consult live, or Upload audio to bring in a recording. Then select Generate draft.

Review the SOAP draft and approve (eSign PIN)

  1. When the status reaches Draft ready for review, the Review draft panel seeds the editable SOAP fields from the AI draft.

  2. Edit any field as needed.

  3. Enter your 6-digit eSign PIN, then select Approve & sign into record. The final fields are written to the encounter note.

  4. To abandon a draft instead, select Discard.

Overview is the module’s landing hub. Four cards summarise what Veona AI does on-box — every capability is self-hosted, human-in-the-loop, and PHI never leaves the facility:

  • Veona AI Scribe — ambient documentation (Start a Scribe Session).
  • Result Intelligence — reference-range flagging with an optional AI synthesis (Request a Synthesis).
  • Decision Support — the advisories that fire while placing an order.
  • Models & Providers — the models running on the box (Manage Models).

Result Intelligence puts a plain-language read on a patient’s results. The reference-range flags are computed deterministically from the lab and imaging results — not by the AI — and an optional on-box AI synthesis sits on top. It is advisory: acknowledging a draft places no orders and changes no record.

  1. Pick the Patient (and optionally an Encounter), then select Request AI Synthesis.
  2. Review the Reference-Range Findings (the deterministic lab and imaging flags), then the AI Synthesis — its summary, highlighted abnormalities, and advisory considerations and next steps.
  3. Select Acknowledge Draft to retain it as advisory (with an optional disposition note), or Discard Draft to drop it — the deterministic findings remain either way.

Decision Support is the order-time safety net. In everyday use these checks fire inline the moment an order is placed; this screen is an advisory workbench to see how they behave.

  1. Pick the Patient and enter a Clinical Indication.
  2. Add a candidate diagnostic order to see the duplicate, prerequisite, context, and appropriateness checks; add candidate medications to see the Medication Interaction Chain (drug-drug and drug-allergy).
  3. Everything here is advisory — nothing is ordered. At real prescribe time, a critical interaction blocks the order until an eSign-PIN-gated override is signed.

Models is a read-only inventory of the AI models running on the box for your facility — their capability, version, usage, and whether PHI stays on-box. Everything is self-hosted; PHI never leaves the facility.

To change what runs, follow Configure In Settings to the AI settings. A facility without the AI module enabled sees a prompt to enable it in settings.

Reports is the usage analytics for your facility’s AI.

  1. Switch the period between Monthly and Weekly.
  2. Read the totals — Scribe Notes, Syntheses, Flags Raised, and Est. Time Saved — and the volume chart.
  3. Break usage down by Department, Payer, or Clinician.

Settings configures the AI and Scribe options for your facility — the AI capability and access toggles, and the Scribe transcription options (engine, accent and language, and audio retention). Default model hosting is managed on the Models screen, and PHI redaction is enforced before any vendor call.
