Accept a Referral Into an Appointment
Who / when: the Receiving Provider — the clinician a referral was sent to — when they are ready to take the patient on. A referral arrives as a notice that someone has sent you a patient; accepting it is how you say “yes, I’ll see them.” The important part is what accepting does: Veona does not just mark the referral handled, it creates a real follow-up appointment for you, so the referral becomes an actual scheduled visit rather than a dangling note.
We will follow Dr. Nwosu, a cardiologist, accepting a referral that arrived from a colleague.
- Receiving Provider — open Appointments → Referrals. The incoming referral sent to you shows here, marked Pending, with the patient, the referring clinician, the urgency, and the reason. (How it got here is covered in Create and Notify a Referral.)
- Receiving Provider — click the referral to open it and read the full detail the referring clinician recorded — the clinical context that the content-free notification deliberately did not carry.
- Receiving Provider — press “Accept” to take the referral on. (If the patient is not appropriate for you, you can decline instead, with a reason — but accepting is the path that creates a visit.)
- Receiving Provider — on accepting, Veona creates a follow-up appointment for you tied back to this referral, and the referral’s status moves from Pending to Accepted. The new appointment appears on Appointments → Schedule.
What happens next: the follow-up appointment is now a normal entry on Appointments → Schedule, and the patient can be checked in on the day exactly like any other visit — see Check In an Appointment Into an Encounter. From there the receiving provider opens the chart, documents the consult, and takes the next clinical step — closing the loop the original referral opened.
