View My Credentials And Documents

Your licences and registrations are what let you practise, so it matters that you can see their status at any time. My Credentials is your own read-only view of three things HR holds for you: your professional licences, the documents in your secure vault, and your professional-body memberships — each with its own expiry status. It rides the self-service floor, so it shows only your own records; you cannot read anyone else’s here.

A quick vocabulary note: a credential (or licence) is a regulator-issued permission to practise — for example a nursing-council registration; a vault document is a stored file HR keeps for you, such as a certificate or contract; a professional membership is your standing with a professional body, with its own renewal date.

Who / when: any staff member, whenever they want to check their own credential standing. We’ll follow Amaka, a nurse, making sure nothing is about to expire.

  1. Staff member — open Human Resources → My HR → My Credentials. The screen stacks three panels: “Licences”, “Documents” and “Memberships”.
  2. Staff member — read your “Licences”. Each row shows the “Regulator”, your “Licence No.”, its “Expiry” date and a “Status”.
  3. Staff member — check your “Documents”. Each lists a “Title”, “Type”, “Expiry” and whether it is “Verified”. Select “Open” on a row to view that document.
  4. Staff member — review your “Memberships”. Each shows the “Body”, a “Status” and its “Renewal” date.

Spotting an item that is expiring or expired

  1. Staff member — scan the “Status” on each row. An item nearing its expiry, renewal or a “due” date is flagged amber; one that is already expired, lapsed or revoked is flagged red.
  2. Staff member — act early. For a licence or membership, begin the renewal with the regulator or body; for a vault document that has expired, send HR the replacement so they can update your record. The same expiring items also surface to HR on their compliance board, so you are not the only safety net — but you are the first.

On the “Documents” panel, select “Open” on any row to view that file. The document opens just for you; like everything in this view, it is your own, and there is no way to reach another person’s vault from here.

Every list on this screen is restricted to your own record on the server. There is no field to type someone else’s name and no link to another person’s credentials — reading another employee’s licences or documents is reserved for HR on the management side. Self-service shows you exactly one person: you.

You leave knowing precisely where your credentials stand and what, if anything, needs renewing. As HR records a renewal or verifies a new document, the change shows here the next time you open the screen — so your professional standing is always current and visible, and nothing lapses quietly in the background.
