Complete Onboarding As A New Employee
Welcome aboard. When HR adds you and starts your onboarding, a checklist is created for you with a set of standard steps. The good news is that several of them complete automatically as you do the ordinary things every new employee does — sign in for the first time, switch on two-factor authentication, and choose your eSign PIN (eSign PIN = your personal 6-digit electronic-signature code used to sign records). You do the steps once; the checklist notices and ticks them for you. HR handles the rest — your contract, equipment, handbook — alongside you.
Who / when: any new hire, in their first session after being invited. We’ll follow Amaka, a new nurse, on her first morning.
The main path
Section titled “The main path”- New employee — open the invitation HR sent and sign in for the first time, setting your password. The moment your first login succeeds, the “First Login Completed” step on your onboarding checklist ticks itself.
- New employee — set up two-factor authentication (your authenticator app) when prompted. As soon as it is enrolled and confirmed, the “Two-Factor Enrolled” step completes on its own.
- New employee — choose your 6-digit eSign PIN. Once it is set, the “ESign PIN Set” step ticks automatically. You will use this PIN whenever you sign something in Veona.
- New employee — open Human Resources → My HR → My HR to see where you stand. As your profile and these first steps land, your personal dashboard fills in; the steps you have just completed already show as done on your checklist.

Section titled “Watching your onboarding progress”- New employee — your onboarding shows as a progress count (steps completed out of the total). The system steps — Account Invited, First Login Completed, Two-Factor Enrolled, ESign PIN Set, and, once captured, Bank Account and a signed Employment Contract — tick themselves as each becomes true.
- New employee — there is nothing to “submit”. As you complete the underlying action, the matching step turns done and your count climbs toward complete.
The steps HR completes for you
Section titled “The steps HR completes for you”Some steps are deliberately HR’s to mark, not yours: “Position And Grade Assigned”, “Workspace And Equipment Provided” and “Policies And Handbook Acknowledged”. Your HR officer ticks these off on their side as they hand over your equipment, confirm your role, and walk you through the handbook. You will see them turn done without lifting a finger — they are not waiting on you.
Capturing your bank account early
Section titled “Capturing your bank account early”The “Bank Account Captured” step completes the moment an active bank account exists on your record. You can get ahead by adding yours yourself on Human Resources → My HR → My Profile under “Bank Account” — see the self-service hub guide. Your contract step likewise completes once your employment contract is signed.
What happens next
Section titled “What happens next”Once every step is done, your onboarding checklist is complete and you are fully set up — signed in, secured with two-factor, able to sign with your eSign PIN, paid into your own bank account, and acknowledged on the policies. From here, everything you need lives under My HR: your payslips, leave, shifts, training and credentials. You are ready to work.
