Meet in the Same Room, Document and End

Who / when: the Provider and the Patient, together, during the live video visit. By now the provider has started the consult and the patient has joined; this page covers the visit itself — meeting in the room, writing the note, and ending cleanly. Everything written here attaches to the one encounter (Veona’s single record of the visit) that starting the consult opened.

There is no second system to switch into. The provider and patient are in the same video room, and the provider documents the consult straight into the canonical encounter — the very same kind of visit record an in-person consultation produces. When the visit is over, ending the consult is one action that flips the whole thing to completed. We will follow Dr. Okafor and Amina, now face to face on video.

1. Provider — you are in Veona Live → Consult Room with Amina connected to the same room. Conduct the visit as you would in person — history, discussion, plan.
2. Provider — document the consult into the encounter note as you go. The note attaches to the one “Virtual” encounter this consult opened; there is no separate place the telehealth note lands.
3. Provider — manage recording and consent from the room if you are keeping a recording of the visit. A recording is only persisted when consent allows it.
4. Provider — when the visit is finished, press “End Consult”. Veona moves the consult to Completed and closes out the live room for both parties.

Note

The visit documents into one encounter — the same canonical visit record the rest of Veona reads. If you order labs or imaging, prescribe, or write any clinical detail during the call, it all hangs off this single encounter, so the patient’s chart shows one coherent visit, not a telehealth fragment floating apart from the record.

Tip

Need to send the patient something afterward — a result, an instruction, or a document? Release it through the portal and it reaches them on the same surface they joined from. Releasing results to the portal is covered in Release Lab and Imaging Results to the Patient Portal.

What happens next

The consult is now Completed, and that single state is what the scheduler, the provider, and the patient all see — there is no version where one surface still says “in progress.” Amina sees the visit marked complete on her portal and can reach any consented recording there. The encounter the visit documented into behaves like any other: charges accrue to it, orders and notes live on it, and it closes as a finished visit.
