Review, Edit and Approve the Scribe Draft

Who / when: the physician, once the scribe has produced a draft. This is the step that matters most. The AI’s draft is a suggestion, not a record — you are the human in the loop, and you are accountable for everything you sign. Veona shows you each SOAP field (Subjective, Objective, Assessment, Plan) with a small provenance marker — provenance just means “where this text came from” — so you can see at a glance which parts are still the AI’s words and which you have changed. You read, you correct, and only then do you sign it in with your eSign PIN (a 6-digit signing code, separate from your login password). Nothing is written to the chart until that PIN goes in.

1. Physician — on AI → Scribe (or the “Veona Scribe” bar on Chart → Scribe), wait for the status to read “Draft ready for review”. The “Review draft” panel opens with the four SOAP fields filled from the AI’s draft.
2. Physician — read every field against what actually happened in the consultation. The draft is a starting point, not the truth — check the Assessment and Plan especially.
3. Physician — edit any field that needs it. As you change a field, its provenance marker flips from AI-generated to “Edited”, so the record shows plainly that a human revised it.
4. Physician — when the note reads exactly as you want it, enter your 6-digit eSign PIN and select “Approve & sign into record”. This is the moment the note becomes real.
5. Physician — if the draft isn’t worth keeping, select “Discard” instead. A discarded draft never touches the patient record.

Caution

The draft is advisory only — it never enters the record on its own, and “Approve & sign into record” is the only door in. Whatever you sign is attributed to you, so read and correct every field first. If you don’t trust it, discard it and write the note yourself.

Note

Veona keeps the per-field provenance — which sections were AI-drafted and which you edited — as part of the permanent record, alongside the model and ASR engine that produced the draft. The audit trail can always show exactly how the note was made.

What happens next

The instant your PIN is accepted, Veona writes the finished SOAP note into the patient’s encounter as a signed clinical note.
