Issue a Birth Certificate

Once a baby is registered, its birth can be officially certified. The birth certificate is a civil-registration document, so issuing it is a deliberate, signed act — the registrar confirms it with their eSign PIN (a 6-digit signing code, separate from the login password; typing it is a legal signature confirming you authorised this). The moment it is issued, Veona renders the official certificate as a branded PDF, stores it in encrypted Storage, and locks the record so it can’t be quietly altered. The parent can download it from the patient portal.

Who / when: the registrar (the vital-registrar role) — or an obstetrician authorised to certify — once the newborn has been registered and its birth record exists. We’ll follow Registrar Bisi issuing the certificate for Mrs. Adeyemi’s baby.

  1. Registrar — open Maternity → Birth Certificate and find the birth record for the newborn.
  2. Registrar — select “Issue certificate”. This opens the eSign confirmation step. (It does not issue the certificate straight away — your signature is required first.)
  3. Registrar — in the eSign window, enter your 6-digit eSign PIN and select “Issue & sign”.
  4. Registrar — Veona issues the certificate: the record flips to Certified, the official certificate PDF is rendered and saved to encrypted Storage, and you can download it.

The certified birth record is now sealed, and its branded PDF lives in encrypted Storage — downloadable by your team and by the parent from the portal. The newborn already has its own UHID and a seeded immunisation schedule, so the baby’s care can carry on from here.
